Overview

The ideal candidate will provide an unparalleled onboarding experience for Atlantic Health System Physicians and Advanced Practice Providers.  This role will support all aspects of onboarding from signature of employment agreement thru start date. 

Responsibilities

  • Effectively communicate across all involved parties within the onboarding process, including but not limited to Senior Leadership, Recruitment, Contracting, Revenue Cycle, Business Development, Human Resources, Medical Staff, Operations, and Marketing to ensure a streamlined onboarding process for Physicians and Advanced Practice Providers (APPs).
  • Collaborate with Revenue Cycle, Medical Staff and Operations to create realistic and achievable timelines for start date and communicate widely across all stakeholders including the Physician
  • Provide timely and accurate updates for recurring onboarding meetings with Medical Staff, Revenue Cycle, Payer Credentialing and Risk Management to inform of new recruits, manage the timelines for previously determined start dates, and resolve onboarding issues, as needed.
  • Develop and maintain strong working knowledge of all databases including but not limited to iCIMS, Peoplesoft/Oracle, Credential Stream, or any new system that AHS may engage with for onboarding.
  • Maintain strong understanding of all onboarding milestones/process, as well as I-9 Verification Process, PeopleSoft Data Entry, Processes for Payroll, etc.
  • Review all documentation submitted by Physicians and APPs for completeness, including but not limited to Enrollment Packet for Payer Credentialing, and HR Paperwork.
  • Schedule and follow-up on all necessary steps within the onboarding process including LapCorp Drug Screen Registration, Occupational Medicine Services (AHS) appointment scheduling and attendance, request and review of background checks and clearances, entry of new hire data, processing and coordinating distribution of ID Badgers with Security Team, scheduling attendance at either in-person or on-demand Orientation, and obtaining domain and email log-in with Information Services and Support (ISS).
  • Process Provider compensation and status changes in HRIS System, and coordinate all bonus and early sign-on payments for physicians.
  • Support Operations and Business Development Teams to ensure a smooth onboarding process for new practice acquisitions and/or leased practices.
  • Ensure that all new Physicians and APPs thoroughly understand the onboarding process as well as our expectations about when information and applications must be delivered to secure the outlined start date.
  • Collaborate with Marketing to design and purchase relevant branded materials (i.e. postcards and giveaways) to share with new Physicians and APPs to cultivate their connection to AHS.
  • Send onboarding evaluations to collect feedback from new physicians and APPs on how we can best improve/support their experience during the onboarding process with our health system.
  • Send post-onboarding evaluations to all participating internal stakeholders to collect feedback on and continuously refine/improve our onboarding process.
  • Provide feedback to continuously improve departmental processes/protocols of our onboarding process.
  • Participate in other duties and responsibilities as assigned to onboard and retain physicians.

Qualifications

  • Ability to communicate clearly and professionally, and present Department in a positive manner.
  • Excellent verbal and written communication skills, including superior grammar and proofreading skills.
  • Excellent interpersonal skills with the ability to engage at all levels of the organization.  Demonstrate a professional and adaptable demeanor with internal and external clients, including administrators, physicians, peers, and support staff.
  • Exhibit a high energy level and demonstrate the ability to work within a team.
  • The ability to multi-task, plan and prioritize a large volume of detail-oriented work in accordance with changing deadlines.
  • The ability to work with minimum supervision, set priorities, and follow through to accomplish results.
  • Strong computer technology skills including, but not limited to, Microsoft Outlook, Microsoft Word, Excel, and PowerPoint.
  • Demonstrated ability to conduct Internet research in an efficient, productive manner.
